Customer agreements, credit and insurance ones too, signed right after the decision

Customer service, in the financial sector too: the customer receives a link, reads the document and signs with a finger on the phone screen. A phone, internet and a minute are enough, with no printing and no visit. You see the status and hold the signed file in your account.

SignSafe is a tool for electronic document workflow and for collecting signatures from B2B and B2C customers on contracts, consents and offers, and in the financial sector also on credit and insurance documents. A customer opens a link in a browser, fills in the fields and signs with a finger on a phone in a minute, with no registration and no app. The signed PDF lands in the company account and the status is visible live.

Customer service in the financial sector calls for speed, precision and care with data. SignSafe helps speed up processes, reduce errors and keep documents in order, while the customer signs online from anywhere. It is simpler and faster service that builds customers’ trust. The scope of use depends on the type of document and the requirements of the institution; if in doubt, consult a lawyer.

What your company gains

Using the tool in customer service, in the financial sector too, you speed up contract signing and document flow. You reduce operating costs, save time and give customers more convenient service, which strengthens their trust.

Time optimisation

Faster signing of credit and insurance documents and of customer agreements.

Cost reduction

Lower operating costs of handling paper documents.

Customer convenience

The customer signs online from a phone, with no visit to a branch or an office.

What usually gets in the way

The customer has chosen your offer, but the contract is stuck at the signing stage

When the customer has to print, sign and scan, some people postpone it. A sale that felt closed starts to cool.

You collect consents and acceptances of terms in different places

Some arrive by email, some on paper. When you need to show who agreed to what, you search several inboxes.

You do not know where the customer’s signature stands

A salesperson chases by phone and the customer feels pushed. It is also hard to plan the start of delivery without knowing the contract is signed.

Credit and insurance documents need a signature, and the customer has to come in person

When the customer has to travel to a branch or an office, or print and send the documents back, the process drags and some people put the signature off.

What you get

A shorter road to the contract

the customer signs at any moment, from a phone, with no visit and no scanner

A clear status

you see in real time which customers have signed

Consents in one place

signed documents gathered in the account, easy to find

How it works

Upload the contract or a template

Add a PDF with the contract, offer or consent. For recurring contracts define a template with fields the customer completes, such as company details or an address.

Choose the customer from your contact list

Send the document to one customer or a group. The customer gets a link and needs no account.

The customer fills in and signs

They open the document in a browser, fill in the fields and sign with a finger on the screen. It takes a few moments.

You get a notification

An email announces each new signature and your account shows the status of every document.

The signed PDF is yours at once

The file lands in your account. If you sell through your own system, the API can return it to the customer or lead record.

The client fills in fields and signs

The client completes the template fields (personal or company details) and signs after opening the e-mail with a one-time code, no password, or on a device at the point.

What you can do

  • Sales and service contracts with B2B and B2C customers
  • Acceptances of offers and orders
  • Customer consents, for example to contact or data processing
  • Acceptances of terms and conditions of cooperation
  • Contract amendments, for example a change of price or scope
  • Reports and confirmations of service delivery
  • Agreements from a template with fields for client data, completed before signing
  • Client signature by e-mail with a one-time code, no password, or on a device at the point
  • Customers’ credit documents, for example applications, declarations and loan agreements
  • Insurance documents, for example applications, declarations and insurance contracts

Who it is for

  • Service and trading companies concluding contracts with business customers (B2B)
  • Firms serving individual customers (B2C) who want to sign quickly and without a visit
  • Sales teams that want to shorten the road from offer to signed contract
  • Teams collecting consents and acceptances of terms from customers
  • Intermediaries and financial-sector firms that serve customers on loans and insurance

B2B and B2C: how signing differs between a company and a private person

In B2B relations the contract is usually signed by a person representing the company, often busy and on the move. A link they can open on a phone between meetings makes this easier. It is worth establishing beforehand who is authorised to sign and sending the document to that person, or to several people at once.

In B2C relations simplicity matters: an individual customer often does not want to install anything or create an account. In SignSafe they do not have to; they open the link and sign. A contract signed in SignSafe is an ordinary contract: there is no obligation for the customer to confirm it additionally. Where a contract requires the written form, a handwritten signature from SignSafe satisfies it according to the 2023 legal opinion (a summary, not legal advice). A general description of the process is on the page about signing contracts online.

Offer acceptances and consents, not only contracts

You do not need a full contract to collect a signature. Many companies need confirmation that the customer has accepted a specific offer, price list or set of terms before work begins. You can send such a document the same way and the customer accepts it with a signature on the screen.

The same goes for consents: if you collect them as a document, you can send them to many customers at once and see in your account who has replied. We describe the signature itself on the page about remote signature.

When there are many customers: templates and the API

With a large number of customer contracts a document template makes sense: you prepare the layout and fields once and then only choose the recipient. If you keep customer data in a CRM or sales system, consider an API integration. The document leaves from the customer profile and the signed PDF returns to it automatically.

The standard plan is described on the pricing page, and for the API we prepare an individual quote.

Templates with fields and signing without a password for customers

If you use the same agreement with every customer, save it as a template with fields to be filled in by the other party. The customer enters their own personal or company details, and you do not retype them from messages.

Signing uses one of four ways. The simplest for a customer without an account: e-mail and a one-time code instead of a password. A customer with a SignSafe account can use the password. If you meet in person, the customer signs on a device at the point, with no login. These are examples of use. See remote signature.

Bulk signing: if you sign many documents, you select the ones you want and sign them all at once. It helps when a customer receives several documents for one matter.

Customer service in the financial sector: credit and insurance documents

In the financial sector a customer often signs several documents in one matter: an application, declarations, consents and the contract itself. SignSafe lets you send such a set in one go, and the customer signs it on a phone, with no visit and no printer. You see which documents are already signed and keep them in your account as PDFs. The signing order can be any or fixed, for example the customer first, then the adviser.

These are examples of use, not a guarantee for every document. Whether a given institution, bank or insurer accepts such a signature depends on the type of document and its requirements. Where a qualified electronic signature is required, we can connect one in SignSafe. Agree the scope with a lawyer or the compliance team; this is not legal advice.

Faster service with fewer errors

With financial documents a complete set of data matters. A template with fields such as PESEL (or an identifier), a date or text lets the customer fill in the data before signing, so you do not retype it from messages. Fewer manual corrections mean shorter handling time and lower operating costs tied to paper. The customer receives a copy of the signed PDF, and you have the documents in one place.

Security and legal basis

Customer data and documents are stored on servers in the European Union (OVH hosting).

For business customers we conclude a data processing agreement.

A signature in SignSafe is a handwritten signature and, according to the legal opinion of the law firm Gałecki and Associates of 21 August 2023, satisfies the written form requirement, with the option of graphological verification.

Where a qualified electronic signature is required (the electronic form under Art. 78¹ of the Polish Civil Code), we can connect one in SignSafe. This is a summary of an opinion, not legal advice.

Legal nature of a signature placed by hand on the touch screen of an electronic device

A signature placed in SignSafe is a handwritten signature, and a declaration of intent signed in the app meets the requirements of written form. If the signature did not qualify as handwritten, the declaration is still valid in documentary form. In legal effect it is equivalent to a qualified electronic signature: both preserve written form.
