How it works

Upload a PDF

You upload your own PDF in A4 portrait and choose the signature places, or use a template with fields for the other party to complete (for example company or personal details).

Choose the signers

Give an email address, first and last name, or pick people from your contact list or a group (you can add yourself). Choose whether everyone signs together or in the order of the list, and confirm the send.

The recipient gets an email

They open the document in a browser with a one-time code, no password and no account, or with their SignSafe account password. No app.

They sign with a finger

They tick the consent, complete the fields (PESEL or, after ticking “Brak”, an identifier, for example for foreign nationals) and draw a signature with a finger at home, at work, on a train or abroad; on a computer with a mouse or touchpad.

You receive the finished document

After the last signature the signed PDF arrives in your email and is in the document list. You can manually resend the invitation to those who have not signed.

Remote signature versus signing in person

Remote signing means the parties do not need to be in the same room. The difference is in how the document is delivered and the signature is placed, not in the contract itself: the content stays yours, only the route to the signer and back changes. If someone is with you at a point of service (workshop, shop, collection point) or a courier’s handover, they can sign on a device there without logging in. If they are in another city, they get an email and sign on their own phone, with a one-time code or their account password.

What the signer experiences

The signer does not need to know any system. They open the message, go to the page with the document, read it, tick the consent, complete the requested fields and draw a signature. Someone with an account and many documents can select them and sign in bulk, all at once. All of it happens in the browser, so it works on a phone, tablet and computer.

Limits worth knowing

An honest technical limit: the document must be a PDF in A4 portrait format; other formats must be converted first.

Remote signature in SignSafe is, according to a legal opinion, a handwritten signature that meets the written form, not a qualified electronic signature. For most everyday business documents, such as consents, commission contracts or delivery confirmations, it is a workable method, but not for every act. When a qualified electronic signature is required (the electronic form under Art. 78¹ of the Civil Code), we can connect it in SignSafe. SignSafe does not support notarial deeds. Security and legal basis

According to the legal opinion of Gałecki and Associates of 21 August 2023, a SignSafe signature is a handwritten signature and meets the written form (Art. 78 of the Civil Code); at the very least the declaration is valid in the documentary form (Art. 77² of the Civil Code). Service data is stored on servers in the European Union (OVH hosting).
