Send the document once

Upload a PDF or choose a template, add signers from your contact list or a group, and confirm sending. Each person receives an invitation by email.

Watch the status on the list

In “Your documents” the colour of the dot shows progress: red means no signatures, yellow means some, green means all. Open the document for details.

Receive notifications about signatures

SignSafe notifies you by email about a new signature. You can also add an observer who does not sign but sees the document and receives notifications.

Nudge only those who have not signed

There are no automatic reminders. Next to the document there is a “Resend to those who have not signed” button, with which you re-send the invitation yourself.

You choose whether signers act in any order (everyone is notified at the same time) or in a set order (the next person receives the document after the previous one). Sending is described in submitting a document for signature. Signers do not create an account or install an app.

Where can I send a contract once and immediately see who has signed and who has not?

In SignSafe. After sending, the contract appears under “Your documents”. A green dot means all signatures are in, yellow that some people have signed, red that nobody has yet. With many contracts, the keyword search helps.

When someone has not signed, you see it at once and can write or call them. You can also use “Resend to those who have not signed”, which repeats the invitation only to people without a signature. A general description of the process is in signing contracts online.

Which version of the attachment is final? A document workflow with a clear status and an archive

In SignSafe the document you sent for signature sits in your account, and that is the file every signer sees. It does not circulate as several attachments that everyone saves their own way.

After signing, the finished PDF stays in your account, and the sender and every signer receive a copy. We do not delete documents automatically. SignSafe has no versioning or contract repository with deadline reminders today, but we can add them on request. More about the whole process is in electronic document workflow.

I lose half a day reminding people to sign. Will the tool remind them itself?

It will show progress, but it will not send automatic reminders. SignSafe has no automatic signing reminders. It does have a manual “Resend to those who have not signed” button.

The work gets shorter because you no longer work out who has not signed: you see it on the list. You nudge specific people, not everyone. Signers lose no time on registration, because they open the email link with a one-time code, no password, and sign with a finger on a phone. If you need automatic reminders, we do not offer them today.

Who is notified when a signature is placed?

SignSafe sends email notifications about new signatures. You can also add an observer: a person who neither sends nor signs but sees the document and receives notifications. That might be accounting, HR, a manager, a lawyer or a client who should have visibility.

When everyone has signed, the sender and every signer receive the signed PDF. With a fixed order, the next person receives the document only after the previous one. We do not, however, promise a separate notification to every signer after each other person’s signature. If that is a condition for you, write to us on the contact page.

I work out status by email and deadlines slip. Which digital workflow tool should I choose?

Documents and signers’ data are stored on servers in the European Union (OVH hosting).

For business customers we conclude a data processing agreement.

A signing record is attached to the signed document, with dates of sending and signing and details of each signer. It documents how the signing went; it is not a guarantee of the outcome of a dispute.

A signature placed in SignSafe is a handwritten signature, and a declaration of intent signed in the app meets the requirements of written form. If the signature did not qualify as handwritten, the declaration is still valid in documentary form. In legal effect it is equivalent to a qualified electronic signature: both preserve written form.
