Quote accepted, amendment signed, handover confirmed, all from the building site

Your client signs a quote, contract, amendment or handover report with a finger on the phone, in a minute, wherever they are. The crew does not wait for an office visit and you hold proof of the accepted scope of work. It is an ordinary contract, with no extra confirmation.

SignSafe is a tool for electronic document workflow and for collecting signatures from finishing contractors’ clients on quotes, contracts, amendments and handover reports. A client, even without a qualified signature, opens a link in a phone browser, even on site, and signs with a finger in a minute, with no account and no app. The signed PDF lands in your account.

SignSafe lets finishing contractors sign contracts with clients online quickly. You speed up the document flow, cut paper formalities and gain more time to deliver projects. Data is stored on servers in the European Union, and a contract signed in SignSafe is an ordinary contract, with no extra confirmation. Less paperwork saves time and money and makes your service to clients more professional.

What you gain

Faster signing of client contracts, smoother finishing projects and tidy documentation, which builds clients’ trust.

Time

A faster document flow speeds up delivery: the crew starts on site once the quote and contract are already signed.

Lower risk

Less risk of delays in finishing projects, because the client’s decisions no longer wait for an office visit.

Efficiency

More efficient project documentation: quotes, amendments and reports sit in one account.

What usually gets in the way

The client changes the scope mid-job and the change is written down nowhere

At settlement a dispute arises over what was extra and billable. Verbal agreements on site are hard to prove later.

A quote waits for acceptance while the crew stands idle

Without a signature you do not know whether to order materials and go on site. A delayed client decision shifts the whole schedule.

A handover report signed on paper on site gets lost or is illegible

When the client questions quality or timing, you hunt for a sheet that may have stayed in the van or a jacket pocket.

What you get

Scope in writing

every change of work has an amendment signed by the client before the crew starts

Decision without a visit

the client accepts a quote from a phone, wherever they are

Handover documented

a report signed on the spot, as a PDF in your account straight away

How it works

Prepare the quote, contract or report

Upload the document as a PDF. For handover reports create a template with fields: scope, remarks, date.

Send the client a link

The client gets a message with a link. You can also send the document to several people, for example the owner and a co-owner.

The client fills in and signs

They open the link in a phone browser, add remarks and sign with a finger on the screen. No account and no app.

You get a notification

An email announces each new signature and you see the status of every document in your account.

The full set at hand

Signed quotes, amendments and reports sit in the account as PDFs. With a system integration they also go to the client or job record.

What you can do

  • Quotes and offers accepted by the client
  • Contracts for finishing and renovation work
  • Amendments to the scope of work and extra works
  • Stage and final handover reports
  • Orders for subcontractors, such as electricians or tilers
  • Client declarations and consents concerning access to the premises
  • Handover records signed on a device or from an e-mail with a one-time code

Who it is for

  • Renovation and fit-out companies working for private clients and businesses
  • Contractors who often change the scope of work during the job
  • Crews working on several sites at once, away from the office
  • Finishing subcontractors taking orders from general contractors

A scope amendment before the crew does extra work

The most common dispute in finishing work concerns jobs the client ordered “while you are at it”. The contractor sees them as extra, the client as included in the price. A simple rule: before the crew starts something new, send the client a short amendment with a description and a price. The client signs on a phone in a minute and you have a record of what was agreed. A contract signed in SignSafe is an ordinary contract: there is no obligation for the client to confirm it additionally.

With an amendment template that has fields for the description and amount, preparing such a document takes little time. The sender completes the fields and the recipient only reads and signs. See how sending documents for signature works.

Signing on site with a phone

SignSafe runs in a browser on any device, so the client installs nothing. If you stand on site together, you can open the handover report on your own phone or tablet and hand it over for a finger signature. If the client is absent, you send a link and they sign later from home.

This flexibility helps with stage handovers, when client and contractor rarely find time to meet in the same place. The technical side of the signature is described on the page about the handwritten e-signature.

Subcontractor orders and working with the design office

Finishing firms rarely do everything themselves. Orders for electricians, plumbers or tilers can also be signed remotely and collected in one account. If you work from a design, the page for design firms may interest you, as it covers stage acceptance on the office side.

With a larger number of jobs it is worth asking about the API, which sends the document from your system and returns the signed PDF to the job record.

Four ways to sign for finishing crews

On site or at the client's, there is often no account and no time for passwords, and a handover record has to be signed straight away. SignSafe offers four ways to sign: e-mail with a one-time code, no password; e-mail with an account password; signing on a device at a point with no login; and signing on a courier's or supplier's tablet. You can also prepare a document as a template with fields for the other party to fill in. These are examples of use.

Security and legal basis

Documents and signers’ data are stored on servers in the European Union (OVH hosting).

For business customers we conclude a data processing agreement.

A signature in SignSafe is a handwritten signature and, according to the legal opinion of the law firm Gałecki and Associates of 21 August 2023, satisfies the written form requirement, with the option of graphological verification.

Legal nature of a signature placed by hand on the touch screen of an electronic device

A signature placed in SignSafe is a handwritten signature, and a declaration of intent signed in the app meets the requirements of written form. If the signature did not qualify as handwritten, the declaration is still valid in documentary form. In legal effect it is equivalent to a qualified electronic signature: both preserve written form.
