Supplier and counterparty management: contracts and delivery documents signed before the goods move

SignSafe is a tool for document workflow and collecting signatures in deliveries. Your supplier or recipient gets a link, opens the document in a browser and signs with a finger. A phone, internet and a minute are enough, and you see the status in real time.

SignSafe is a tool for electronic document workflow and collecting signatures that, in deliveries and supply, is used to sign delivery documents, framework agreements, purchase orders and confirmations of receipt. The supplier, driver or recipient opens a link in a browser, fills in the fields and signs with a finger on a phone or tablet, with no registration and no app. The signed PDF lands in your account.

SignSafe streamlines how you work with suppliers and counterparties: you sign contracts online, quickly and securely, without paper formalities. You shorten the time to close a deal and build better business relationships, because the other side signs at once on a phone.

What does your company gain in supplier management?

You sign every contract online without needless delays, and documents stay in one place in electronic form. Less paper means lower costs for printing, posting and archiving.

Faster closing

Contracts and orders with suppliers close sooner because they do not wait for post or scans.

Lower risk of delays

You see who a signature is waiting on, so the risk of delays in fulfilling orders is lower.

Better organisation and archiving

Signed documents sit in your account in electronic form, so they are easier to find than in binders.

What usually gets in the way

A contract with a new supplier travels between mailboxes

Print, sign, scan, send back. When one signature is missing, the order waits and you do not know who it is waiting on.

Orders and delivery confirmations get lost in piles of paper

When a dispute arises over scope or delivery date, you search binders and several people’s inboxes for the confirmation.

Amendments and changes to terms must be collected from many suppliers at once

Every supplier replies at its own pace and through its own channel, so tracking who has accepted by hand eats the procurement team’s time.

What you get

Faster start

an order or contract signed remotely, without waiting for post and scans

One status

you see in real time which supplier has already signed

Complete set in your account

signed documents kept in one place, easy to find

How it works

Prepare the document or a template

Upload the contract, order or delivery confirmation as a PDF. For recurring documents, define a template with fields the supplier fills in.

Choose the suppliers

Pick recipients from your contact list. You can send the same document to one supplier or to many at once.

The supplier fills in and signs

They receive a link, open it in a browser on a phone or computer, complete the fields and sign with a finger. No account is created.

You follow the status

You get an email notification about each new signature and see in your account who has signed and who has not.

The document comes back to you

The signed PDF is available in your account. With the API it also returns to the right place in your system, for example the supplier’s record.

Choose how to sign

The recipient can sign from an e-mail link (one-time code without a password, or account password), on a device at a point without logging in, or on the courier's or supplier's tablet.

What you can do

  • Framework agreements and agreements for recurring deliveries
  • Purchase orders accepted by the supplier
  • Confirmations of receipt and delivery of goods
  • Cooperation terms and delivery conditions
  • Amendments changing prices, dates or delivery scope
  • Declarations and consents required from new suppliers
  • Delivery confirmations signed by the recipient on the courier's or supplier's tablet
  • Documents signed on a device at a pick-up point, with no login by the recipient

Who it is for

  • Companies that regularly conclude framework agreements and orders with many suppliers
  • Procurement and logistics teams that collect confirmations of goods received
  • Manufacturers and distributors sending cooperation terms or amendments to suppliers
  • Small and mid-sized firms whose suppliers are spread out and rarely visit the office

How suppliers sign contracts and orders remotely

Restaurant Mimosa describes how its suppliers sign contracts and orders remotely, which speeds up procurement. It is a good picture of what remote signing looks like in practice: nothing to install and no account on the supplier’s side, just a phone with a browser.

For you this means you do not have to assume every counterparty owns e-signature tools. You send a link and the supplier does the rest in moments. The process itself is described on the page about sending documents for signature.

A document template for recurring orders

If you send similar orders or delivery confirmations every week, you do not have to prepare the document from scratch each time. In SignSafe you define a document template and mark the fields the recipient completes, for example the receipt date, quantity or remarks. The supplier fills them in before signing and you receive a ready PDF.

The same works when terms change. You can send an amendment or new cooperation terms to a whole group of suppliers at once and see on one screen who has accepted. See also how filling in documents works.

A handwritten signature in SignSafe and the scope of use

A signature in SignSafe is a handwritten signature and, according to the legal opinion of Gałecki and Associates of 21 August 2023, satisfies the written form requirement. For framework agreements, orders and delivery confirmations that is usually enough. Where a qualified electronic signature is required, we can connect one in SignSafe.

The scope of use depends on the type of document; if in doubt, consult a lawyer. This is a summary of an opinion, not legal advice. We explain this on the legal security page.

Delivery documents signed on a phone: a proof-of-delivery example

You save a delivery confirmation as a PDF with fields (receipt date, quantity, remarks) and send it as a link. The recipient or driver opens it in a phone browser, fills in the fields and signs with a finger. The signed PDF appears in your account moments later.

SignSafe collects a signature on a PDF document; it is not a shipment-tracking system. For larger volumes, ask about an API integration; scope is agreed individually.

Four ways to sign in deliveries: e-mail, account, pick-up point and courier tablet

In deliveries, the recipient does not always have a phone and inbox at hand. SignSafe offers four ways to sign. First: an e-mail on their own device, opened with a one-time code, no password. Second: e-mail plus the SignSafe account password, for people who have one. Third: signing on a device at a point, with no login by the recipient. Fourth: signing on the courier's or supplier's tablet.

The third and fourth fit delivery confirmations: the recipient signs on the screen, with no account and no login. These are examples of use; you set the scope when you ask for an offer. See also e-signature for transport and service points.

Better relationships with counterparties: fewer formalities on both sides

A counterparty who does not have to print, scan or install software signs faster and more willingly. You send a link, they sign with a finger on a phone in a minute, and cooperation starts without chasing whether the document has come back.

The same applies to suppliers, subcontractors and business customers: one way of sending, one status and a full set of signed documents in your account. Conversations with counterparties then focus on the terms of cooperation, not on paper logistics.

Security and legal basis

Documents and signers’ data are stored on servers in the European Union (OVH hosting).

For business customers we conclude a data processing agreement.

A signature in SignSafe is a handwritten signature and, according to the legal opinion of the law firm Gałecki and Associates of 21 August 2023, satisfies the written form requirement, with the option of graphological verification.

Where a qualified electronic signature is required, we can connect one in SignSafe. The scope of use depends on the type of document; if in doubt, consult a lawyer. This is a summary of an opinion, not legal advice.

Legal nature of a signature placed by hand on the touch screen of an electronic device

A signature placed in SignSafe is a handwritten signature, and a declaration of intent signed in the app meets the requirements of written form. If the signature did not qualify as handwritten, the declaration is still valid in documentary form. In legal effect it is equivalent to a qualified electronic signature: both preserve written form.
