Rotas and rules: team acceptance without chasing signatures on paper

In hospitality teams work in shifts, so gathering everyone in one place is rare. You send the rules or a new rota as a document to sign, and each employee accepts it from a phone when they have a minute. In your account you see who has confirmed and chase only those who have not.

A practical note: an employment contract requires written form (Art. 29 § 2 of the Polish Labour Code), and according to the legal opinion of Gałecki and Associates of 2023 a handwritten signature from SignSafe satisfies the written form, so an employee’s contract can be signed remotely. The employee must also be given confirmation of the contract and its terms before starting work, for example by handing over the signed file. A signature under a rota or rules is an acknowledgement, which is collected in SignSafe without any problem (a summary of an opinion, not legal advice). Event and reservation contracts

For larger bookings the client expects a contract with scope, date and deposit. You can prepare an event contract template with fields for the date, number of guests and menu, and the client completes it and signs online. They do not need to come to the venue and you instantly have a signed document.

Pick-up points and suppliers: signing on a device or the supplier's tablet

In hospitality, documents are signed by people on the move: suppliers with a delivery, guests at pick-up, staff between shifts. SignSafe has four ways to sign. Two matter most for venues and pick-up points: signing on a device at the point, with no login, and signing on the supplier's tablet, when a goods-received confirmation is signed at unloading.

The other two are e-mail with a one-time code, no password, and e-mail with an account password. The first removes the "I have no account" barrier; the second is for people who have one. These are examples of use; more on suppliers in delivery document workflow.

Security and legal basis

Documents and signers’ data are stored on servers in the European Union (OVH hosting).

For business customers we conclude a data processing agreement.

A signature in SignSafe is a handwritten signature and, according to the legal opinion of the law firm Gałecki and Associates of 21 August 2023, satisfies the written form requirement, with the option of graphological verification.

Legal nature of a signature placed by hand on the touch screen of an electronic device

A signature placed in SignSafe is a handwritten signature, and a declaration of intent signed in the app meets the requirements of written form. If the signature did not qualify as handwritten, the declaration is still valid in documentary form. In legal effect it is equivalent to a qualified electronic signature: both preserve written form.

SignSafe and telecommunications law and labour law

A telecommunications service contract can be concluded in written, electronic or documentary form, and SignSafe can meet the durable-medium requirement; verifying the subscriber’s identity is a separate requirement. In labour law an employment contract requires written form and a SignSafe signature is handwritten; electronic employee records must be digitally reproduced and bear the employer’s qualified signature or seal, which SignSafe does not provide by itself.

Can a supplier sign a contract or order on a phone?

Yes, it works without any problem. The supplier opens a link in a browser, fills in the fields and signs with a finger on the screen. They do not create an account or install an app.

Can staff accept a rota or rules with a signature in SignSafe?

Yes, you send a PDF document and the employee signs it on a phone. An employment contract requires written form (Art. 29 § 2 of the Labour Code), which according to the G&A opinion of 2023 a handwritten signature from SignSafe satisfies; the employee must be given confirmation of the contract before starting work. Signatures under a rota or rules can be collected without any problem.

Can a client sign an event contract online?

Can I send the rules to the whole team at once?

Yes. You can send a document to many people at the same time from your contact list and see the status of each signature in your account.

Can a supplier sign a goods-received confirmation on a tablet?

Yes. SignSafe has a mode for signing on the courier's or supplier's tablet: the signer uses the screen, does not log in and needs no account. It is an example of use for goods-received confirmations.

Does a customer have to log in to sign at a pick-up point?

No. In the mode for signing on a device at the point, the customer signs on a tablet or screen with no login and no account. If they are not there, you can send the document by e-mail with a one-time code, no password.
