How it works

Prepare the documents

Upload your own PDF (A4 portrait) and mark where to sign, or choose a template with fields the candidate fills in, such as first name, surname, PESEL or an identifier, and a date.

Send to one person or a whole group

Pick recipients from your contact list or a whole contact group. Before sending, the system asks you to confirm.

The candidate opens the link on a phone

They receive an email, open the document with a one-time code, no password and no account, tick the consent, fill in the fields and draw a signature with a finger.

Track the status

The colour of the dot next to a document shows whether nobody, some or everybody has signed. For those who delay, you can manually resend the invitation.

If the contracts need your signature too, select many documents and sign them all at once. The finished PDF goes to the sender and every signer.

Twenty new hires and one printer: handling it from a phone

When a group of new people starts together, the paper logistics eat the most time. In SignSafe you save people in your contact list or in a group, choose a contract template and send it to everyone at once. Each person receives their own link and fills in their own details, and you see the state of each document on the list.

Which HR documents to send to candidates: examples

These are examples of use, not a list of HR requirements. In practice companies send candidates service contracts, contracts for specific work or employment contracts, declarations, policies with a confirmation of having read them, amendments and consents. Whether a given document can be signed this way depends on its type, and if in doubt it is worth consulting a lawyer.

What the law says about signing a contract on a phone

This is a summary of opinions, not legal advice. According to the legal opinion of the law firm Gałecki and Associates of 21 August 2023, a signature made with a finger in SignSafe is a handwritten signature and meets the written form requirement. For staffing agencies the firm also prepared legal information from 2021, which notes that in some proceedings the authorities may read “written form” as a paper document. Security and legal basis

Documents and signers’ data are stored on servers in the European Union (OVH hosting), and for business customers we conclude a data processing agreement.

Every signed document comes with a signature summary page: who signed, when, from which IP address and device, plus a unique SignSafe certificate identifier.

Legal nature of a signature placed by hand on the touch screen of an electronic device

A signature placed in SignSafe is a handwritten signature, and a declaration of intent signed in the app meets the requirements of written form. If the signature did not qualify as handwritten, the declaration is still valid in documentary form. In legal effect it is equivalent to a qualified electronic signature: both preserve written form.

Legal note: concluding employment and civil-law contracts with foreigners through the SignSafe app

There are no obstacles to concluding employment and civil-law contracts through SignSafe with Polish citizens and with foreigners whose status is equal as regards the right to work: the signature has the features of a handwritten signature and meets written form. Caveats: the employer should confirm in writing to the employee the fact of the contract and its terms before the employee starts work; authorities (work or residence permits, labour inspections) may read written form as a paper document; a foreigner must be given a translation of the contract.
